Thank you for reading this post, don't forget to subscribe! When planning for your migration, use the following 5-step guide to prepare you for a successful project.
1. Review and reorganize master data files – When you transition to Sage X3 it’s a natural opportunity to redesign, cleanse, and review your data to ensure accuracy as necessary to maintain data integrity. Since Sage X3 is based on dimensional accounting principles not predefined General Ledger Account Segment values, it’s the ideal time to review the structure of your existing Chart of Accounts (COA), natural accounts, and segment requirements for transactional support and financial reporting. It is best to clean up your data before moving it over, no sense wasting time with bad data.
2. Review dashboards and key company reports – What reports are most important to your company? Gather all the manual reports, key performance indicators, executive power points, and other critical analytics used to evaluate your business. Now consider automating them using “out of the box” dashboards and reporting tools in Sage X3.
3. Document workflows and events – Sage X3 comes with visual process flow diagrams that can be used to depict a company’s operational transactional workflow from simple Masterfile maintenance to transactional entries plus reporting and inquiries. Visual Process Flows are configurable to mimic workflows specific to your organization. These diagrams can be used as an intuitive tool to guide users through the X3 solution and their workflow tasks.
4. User roles, profiles, and responsibilities – Will your users need full access, operational only, or just data collection? Sage X3 has tiered license pricing based on type of users. Defining user roles and profiles is also critical for security rights and permissions. Understanding how your team uses the software will help identify the correct license type to purchase. If you are unsure ask your Sage Business Partner for guidance.
5. Learn about Sage X3 – Sage offers a robust Business Care Plan that includes valuable content and training within Sage sites including: Sage University, Sage X3 Knowledgebase, and Sage City. Tools and information within these sites vary from prerecorded training sessions, lunch & learn webinars, user guides, and more. The more you know the more you can maximize your Sage X3 investment.
As you plan for your migration to Sage X3, we hope the above best practices will help you prepare your company to execute a successful transition.
